April 2025 Binti Release: Expiring Documents Report and Caregiver Experience Improvements

We’re excited to share the latest updates in Binti! This month’s release includes powerful new tools to support licensing workflows, improvements to the caregiver experience, and helpful terminology updates that bring more clarity to our platform. Refer to our full release notes for additional detail and screenshots where applicable.

✨ New Features

Licensing

  • 🔍 Track Expired and Expiring Docs with the new Expiring Documents Report – This report helps workers easily identify expiring and expired documents for active families (Recruiting, Applying, In Renewal, Approved). This report will only display documents on applications that a worker has access to, ensuring clear and relevant oversight.


🚀 Enhancements

Licensing

  •  📅 Custom key dates now appear on the "In Renewal Process" tab – Agencies can now view their unique licensing process milestones right from the Caregiver Applications Dashboard. These custom dates are also included in the In Renewal Process CSV export for seamless reporting.
  • 🌐 A more seamless multilingual experience for caregivers – When caregivers click on a link from an automated email in a language other than English, the Caregiver Portal will now automatically display in that same language.
  • 🤖 Clarified terminology around AI features and chatbot – To reduce confusion:

    • “Binti AI” now refers to our non-chat tools like transcription.
    • “Binti Blue” now refers exclusively to our support chatbot.

🔧 Fixes

Family Finding

  • 📋 Contact Log now includes one-time connections – The Contact Log tab in the Family Finding Efforts report now pulls names from the “Others Contacted” field, allowing you to track one-time connections like schools or doctors.

Licensing

  • 🚫 No more quiz completion blockers – We've fixed an issue where applicants were getting stuck after a quiz was waived or uploaded by a worker. Now, as long as the requirement is marked complete, the applicant can proceed, even without a quiz score.

March 2025 Release: Race & Ethnicity Data Collection Improvements and more!

We are excited to share the latest enhancements to Binti! This month’s updates bring a range of enhancements aimed at improving the way we capture data about applicant demographics, reducing load times, and other improvements to Binti. Refer to our full release notes for additional detail and screenshots where applicable.

📊 Race & Ethnicity Data Collection Improvements

To simplify demographic reporting for your agency, Binti is updating how race and ethnicity data is collected to align with federal standards. Previously, race and ethnicity were combined into a single question. Moving forward, this information will be gathered through two separate questions:

  1. Are you/Is this person of Hispanic or Latino origin?
  2. What is your/this person’s race?

These updated questions will appear throughout Binti wherever race and ethnicity are collected, including for both children and adults. The images below depict the existing and new interface. Additional sub-selections (i.e. additional ancestry information) are available under each option.

🚀 Enhancements

  • Family Finding & Engagement The Family Finding Searches dashboard now loads faster, ensuring a smooth user experience.
  • Family Finding & Engagement Placement Options within Family Finding’s relationship details now support enhanced detail to improve clarity and decision-making. Agency workers can now specify whether a child’s connection is recommended for placement or for placement consideration. Additionally, several sections now include open-text fields, allowing workers to provide additional context about placement options.

     
  • Caregiver Management "Emergency Placement" has been added as a placement search reason, allowing agency workers to indicate the reason for their search with greater specificity.  
  • Caregiver Management "Transitional Housing Program and Foster Care" has been added as placement option, allowing agency workers to indicate the reason for the placement of a child.  

🔧 Fixes

  • When a supporting document expires, notifications will only be sent for requirements on the currently active template. Previously, email notifications were sent for old templates no longer in use.

The fixes listed below apply only to customers with Caregiver Documents 2.0.

  • All available case notes now display when accessed via the Universal Search page for caregivers with a household role switch. Previously, not all case notes would display. 
  • When changing an application to Out-of-County (sending), the Documents page loads as expected. Previously, agencies could encounter an error.
  • In instances where an applicants' role is changed twice, case notes remain editable. Previously, case notes could become uneditable in certain circumstances.

February 2025 Release: Caregiver Portal Enhancements, Family Finding Improvements, and more!

We are excited to share the latest enhancements to Binti! This month’s updates bring a range of enhancements aimed at improving the applicant experience, improving workflows, and ensuring data consistency across Binti. Refer to our full release notes for additional detail and screenshots where applicable.

📂 Caregiver Portal Enhancements

  • Licensing The term “passcode” now replaces “password” in the Caregiver Portal to clarify that users should enter an agency-provided code to move forward with their applications, not their Binti account password.
  • Licensing Agencies with translated forms or our AI translation package can now customize the Caregiver Portal language and translate the initial welcome email for better accessibility.

📇 Improved Family Finding & Engagement User Experience

  • Family Finding & Engagement A new column shows the number of connections found, providing greater insight into search results.
  • Family Finding & Engagement Agencies can now select “Social Media” and “Other” when logging contacts, providing more accurate outreach tracking.

📊 Enhanced Filters, Reporting & API Functionality

  • Licensing The API now distinguishes between different phone and address types (home, work, etc.) for improved data clarity.
  • Caregiver Management Users can now filter Placement Searches by the date a search was requested, improving data analysis.
  • Family Finding & Engagement Agencies can now capture more detailed relationship insights in the Contacts tab of the Family Finding Efforts Report.

🔧 Improved Data Management & Fixes

  • Licensing Application completeness percentages now update more frequently, eliminating discrepancies in form completion status and application completeness percentages.
  • Licensing Modifications to applicant email addresses are now consistently recorded in application history on the Applicant Data page.
  • Licensing Binti now prevents dates beyond 2099 from being entered, ensuring data accuracy.
  • Licensing Agencies can now view the household history on historical renewal applications without errors.
  • Licensing Users can successfully remove phone numbers from applicant records without encountering an error.
  • Licensing Files in the “Other/Miscellaneous” section now consistently include a working download link.
  • Licensing Unnecessary notifications of approval to out-of-county and ICPC applicants have been stopped.
  • Caregiver Management Estimated dates of birth, if applicable, are now displayed when searching for children.
  • Caregiver Management Due dates for child requirements now generate correctly and will no longer appear one day late.
  • Family Finding & Engagement Users can successfully remove relationships without encountering an error.

Child Document Uploads in Caregiver Portal

When a child is in out-of-home care, tracking ongoing requirements is essential to ensuring their safety and stability. However, managing documentation from multiple sources can be challenging. We are excited to announce the release of Child Document Uploads—a new feature designed to streamline the collection of required documentation. This feature introduces a dedicated requirements upload page in the Caregiver Portal, making it easier for caregivers to submit necessary documents while helping agencies stay compliant with out-of-home placement requirements more efficiently.

With this new functionality, it is easy to stay organized:

  • Familiar Portal: Caregivers use the same Binti portal they already know for licensing, while agency workers access the existing child requirements page.
  • Enhanced Collaboration: Agency workers and caregivers can easily see which requirements have been submitted by the other, ensuring transparency and streamlined collaboration.
  • Real-Time Updates: Both agency workers and caregivers can see upcoming and overdue documentation requirements.
  • Easy Document Uploads: Caregivers can easily upload essential records, like medical appointments, to support safe and stable placements.

Agencies can determine which child requirements caregivers can submit and which remain the agency’s responsibility, ensuring a flexible approach to documentation management. By centralizing the collection of child requirements, this feature reduces administrative burden and ensures that children receive the care they need.

Bulk Relative Email Outreach

Sending outreach to relatives is a vital part of the family finding process. It can often feel overwhelming, with the need to gather contact information from various sources, create customized mail merges, and manually document each outreach. We are excited to make this process faster and more efficient with our new Bulk Relative Email Outreach feature.

With Bulk Email Outreach, you can:

  • Simplify Email Creation: Built-in merge fields let you customize emails with data already saved in Binti—such as names, addresses, and more—eliminating the need for manual data entry.
  • Monitor Engagement: Our intuitive interface tracks email delivery, opens, and bounces, giving you real-time insights and confidence in your outreach efforts.
  • Document Outreach Automatically: Emails are saved in contact logs, so you no longer need to spend time manually tracking your communications.

This feature adds complements our previously announced bulk relative notification feature, ensuring relatives are informed more quickly and helping more children stay connected with family.

January 2025 Release: Fillable Supporting Documents, Easier Household Management, and more!

As we kick off the new year, we’re excited to share the latest enhancements to Binti. This month’s updates bring a range of enhancements aimed at improving usability, streamlining workflows, and ensuring data consistency across Binti. Refer to our full release notes for additional detail and screenshots where applicable.

📑 Workflow Enhancements

  • Licensing Binti now provides caregivers with fillable PDFs for all Supporting Documents, allowing them to complete forms digitally on their devices. Caregivers can download, fill out, and re-upload the completed forms, eliminating the need to print and streamlining the process. Please note that Supporting Documents requiring a signature will still need to be printed for signature.

  • Licensing When caregivers add a Reference or Other Adult without an email address, a clearer message now instructs them to work directly with the agency, instead of displaying worker-facing language.

  • Licensing If the youngest age a caregiver is approved to care for is higher than the oldest, a clearer error message highlights which field needs correction.

  • Licensing Agency workers can now set the default language for the Caregiver Portal, ensuring a more accessible licensing process. This feature is available for customers with Spanish forms or AI translation enabled.

  • Licensing Automated email notifications like “Applying to Approved” are now automatically logged as case notes, ensuring a comprehensive case history. Contact your Customer Success Manager if you do not yet have automated email notifications set up.

  • Licensing Agencies can now require a Family ID before updating an application’s status, helping maintain data consistency.

  • Family Finding & Engagement When authoring bulk relative notification letters, you are now directed straight to a page with printable letters, eliminating the need for a new tab that could be blocked by pop-up settings.

  • Family Finding & Engagement  Page breaks can now be added to bulk relative notification letters, offering greater flexibility in formatting and outreach.

📊 Reporting & Data Enhancements

  • Licensing The Time to Approval Report now displays all sub-agency data by default, with filter options for further refinement.

  • Licensing The Time to Approval CSV Download now includes Application Template, Family ID, and Caregiver Name as columns, improving external data analysis capabilities.

  • Licensing The Days Since Application Signed report is now available for private agencies, offering insights into licensing process timelines.

🔄 Simplifying Household & Applicant Management

Please Note: These features are only available to agencies with Caregiver Documents 2.0. We are actively working to enable them for all of our customers.

  • Licensing Easily swap primary and co-applicants or Other Adults and Co-Applicants without contacting support. Roles in the household can be switched with a single click on the Applicant Data page. Binti will automatically generate role-based requirements.

  • Licensing Customer Support can now remove co-applicants from an application, without deleting the user’s historical data. Simply contact Customer Support for assistance.

🔧 Bug Fixes

  • Family Finding & Engagement Names with apostrophes now load correctly in Family Finding & Engagement, preventing errors that previously disrupted certain pages.

Family Finding Efforts Report

At Binti, we recognize the critical role of data in driving positive outcomes for children and families. We are excited to announce the release of the Family Finding Efforts Report, designed to provide a comprehensive overview of outreach efforts conducted to connect children and youth with their families, relatives, and kin. 

This report is generated as a fully formatted Excel document, seamlessly compiling data from the Relationships Dashboard including:

  • A comprehensive list of identified relatives, fictive kin, and other potential connections.
  • A detailed summary of all contact logs, showcasing the communication and outreach made to engage these connections.

With this robust level of detail, agencies can effectively showcase the proactive steps they have taken while providing essential documentation to demonstrate evidence of family finding activities This report is suitable for sharing with courts or other stakeholders, highlighting the agency’s reasonable efforts in family engagement.
