We know keeping documents organized is key to your work, especially when families upload files with names like IMG241.jpg or when you want to follow your agency’s naming conventions. Now, you can easily rename any file right from the Documents page in Binti!

With this update, once a file has been uploaded or automatically created from a completed form, you’ll see a small pencil icon next to its name. Just click the pencil, type the new name, and hit the checkmark to save. No need to download, rename, and re-upload. It’s all done in seconds!

This makes it easier to quickly identify files, keep things consistent across your team, and spend less time managing attachments and more time supporting families.

A few helpful notes:

• If you have permission to upload documents, you can also edit their names.
• You don’t need to include the file extension when renaming (like .pdf or .jpg).
• This applies to all document types: applicant forms, agency forms, reference forms, other adult forms, and other/misc files.

A new change, but one that helps keep your documentation neat and your workflow smoother, because every minute counts in the work you do. 💙

✨ New Features and Enhancements

Family Finding & Engagement Module:

• Family Finding Search Closure Enhancements - You can now close Family Finding searches with more transparency and consistency, which provides agencies with clearer insights into why searches end and better tracking for ongoing practice improvements:

  • A new “Close Search” action is available in the Actions menu.
  • Add a Closure Reason from predefined options, plus optional Closure Details (required if “Other” is selected).
  • Closed searches now display a Reason for Closure column on the dashboard and in CSV downloads.
  • Users can edit closure details after a search is closed.

• Genogram Enhancements - Binti’s Genogram tool now supports adding first-degree relationships between any two individuals, not just the indexed child.

This enables more accurate and dynamic family trees, reflecting the true connections between people.

Placements & Caregiver Management Module 

• New Filter - Admins and workers can now filter by Partner Agencies (alongside Sub-agencies and CBOs) on both the Placement Options and View Matching Families pages, which allows users to specifically view families that are licensed under partner agencies, or by their own agency.

• New Column -  A Partner Agencies column has been added to the Placement Options page, displaying related agencies when an Agency Relationship with “View all placement providers” is enabled. Similar to the filter, this allows agencies to view which families are licensed under their partner agencies vs. at their own agency.

API

Navigating to legacy Swagger API documentation pages now automatically redirects to our updated Readme.io documentation, found here.

Additionally, Agency Admins with API access will now see updated instructions and Readme.io links in their API page.

Licensing

• Other Adults & Templates -  We have fixed an error where removing an Other Adult in some agencies blocked workers from editing applicants. Workers can now freely add or update co-applicants.
• Other Adult Contract Forms - We have fixed an issue where “contract” type forms (signature-only) in Other Adult stages incorrectly displayed the applicant’s name instead of the Other Adult’s, preventing completion.
• Other Adult Removal - An error was fixed where completed forms were not moving to the Other/Misc section of the Documents page when an Other Adult was removed. Now, both forms and documents transfer correctly.
• Child Aging Out Notifications - An issue was resolved where workers were not receiving the 30-day reminder email when a child was about to turn 18 under the automated age-out feature for agencies opted in. Notifications are now sent as expected.
• Caregiver Dashboard CSV -  The “Date of Status Change” column now correctly populates with the most recent change, ensuring accurate status tracking.
• Conditional Template Transfers - We have  resolved an issue where moving applications from conditional to non-conditional templates caused duplicate or outdated requirements. Only the correct requirements now display.

🌟 Spotlight: A New Home for Reports

Reports just got easier to find, view, and manage!

• Redesigned Navigation: A shorter, cleaner Reports menu makes finding what you need faster.
• Reports Dashboard: All standard reports now live in one central place. Over time, custom reports will appear here too, so everything is accessible from a single hub.
• Smarter Workflow: Filter, view, and manage reports with less clicking and more clarity.

This update is designed to cut down on navigation time and give workers a simpler, more intuitive experience.

✨ New Features and Enhancements

AI & Transcription

• Agencies can now provide their Customer Success Manager with a copy of their policy and process documents. Ask Binti AI will summarize the content and deliver answers to worker questions, making lengthy manuals faster and easier to use.

Placements

• We’ve added a multi-select “Level of Care” filter on the Placement Options and View Matching Families pages under the Congregate Care Agencies tabs.

• For Cross Agency Placement Searches, agencies now have a new response option in the Agencies Assigned to Placement Search section: “Search Acknowledged – Looking for Placement Options.”

• Blank Forms: Workers can now download the current version of a blank form Previously, older HelloSign versions were returned.
• Expiring Documents Report: Now only displays active cases, instead of including closed and inactive applications.
• Word ’97 Uploads: Workers can now upload Word ’97 version documents to the Other/Miscellaneous section as expected.

Family Finding

Potential Connections: The “Link As Potential Connection” button now works even with non-standard addresses. These display for workers, but won’t block saving potential kin and potential fictive kin.

✨ New Features and Enhancements

AI & Transcription

• More Control Over Document Uploads – Previously, uploading a document with Binti AI meant you could pre-fill forms, a helpful way to reduce data entry.

Now, you have even more flexibility. After selecting a file, you’ll see a new prompt:

“What would you like to do with your file?”

 They can choose:

• ✅ Create a case note using the file’s content
• ✅ Fill form answers using Binti AI, selecting forms from a filterable list

Whether you want to document information, complete forms, or both, you’re in control of how Binti AI supports your work.

Licensing

• Filter by Custom Key Dates – You asked, we delivered! Agencies that use custom key dates can now filter by them directly from any tab of the Application Dashboard.
• Family Map Enhancements – The Family Map just got more informative! You’ll now see family tags and the “How did the applicant hear about us?” question right on the map for improved context.

• Smarter Handling of Children in Home Requirement History – When a child is removed from a home, we now:

  • ✅ Retain all historical application requirements
  • ✅ Move fulfilled current application requirements to the “Other / Miscellaneous” section
  • ✅ Only allow deletion of children in home records with no requirement activity
     These changes ensure agencies retain a complete audit trail and avoid accidental data loss.

Placements

• Level of Care for Congregate Care Placements – Need to track specific care levels? A new “Level of Care” section has been added to the Edit Placement Information page for Congregate Care Facilities. Use the multi-select field to tag appropriate care levels for each facility.

Family Finding

• Locked Logged Contacts – Finalized contacts can now be locked, preventing any further edits and preserving the integrity of your documentation.
• Locked Relationship Details – Key relationship fields, including category, description, partner status, and lineage, can now be locked after confirmation, appearing as plain text to prevent accidental changes.
• Confidential Relationship Dashboards – For sealed or confidential children, the Relationships Dashboard is now only visible to users with the right permissions, keeping sensitive data secure.

• Smarter Expired Document Filters – For Expired Documents rows won't appear if a newer, valid document exists, even if an old version is expired.
• Clearer Spanish Self-Sign Up – We cleaned up placeholder text and improved dropdown labels in the Spanish applicant experience, replacing “Cambiar a Initial Application” with “Cambiar a Solicitud Inicial” and more. 
• Better Error Messages for Applicants – Error messages on applicant forms are now more precise—waived forms won’t be flagged as incomplete when other items like references or agency-signed documents are the real blockers.
• Caseload Report Fix for Renewals – The “Renewals Due Within 60 Days” column now links to the correct data, no longer including overdue renewals in the filtered dashboard.

Family Finding

Bulk Email Logos Display Properly Again – Your agency branding now appears as expected in bulk emails. Logos that previously went missing are back!

AI & Transcription 

.DOCX Uploads Now Fully Supported – We’ve fixed an issue where .docx files weren’t fully processed by transcription. Now these files generate accurate case notes and form prefill suggestions, just like other supported formats.

✨ New Features and Enhancements

AI & Transcription

• Ask Binti AI: Easily Copy AI Responses – When using Ask Binti AI, you can now quickly copy the full response with a single click, making it easy to paste answers into case notes, Google Docs, or emails for faster documentation.
• Expanded File Support for Transcriptions – Binti now accepts video/3gpp audio formats, including some .m4a files from mobile devices, making it easier to upload recordings from a wider range of sources.
• Improved Feedback for Large File Uploads – Workers uploading a transcription file larger than 24MB will now see a helpful modal explaining the file size limit, with instructions to reduce the file size and try again. Plus, we’ve added tracking to monitor how often this happens.
• Improved Upload Reliability for In-App Recordings – If a worker loses internet connection during an in-app recording upload, Binti will now display a “Queued Upload” message and automatically retry when the connection is restored. The worker will also get an email notification when the upload completes. This ensures uploads are not lost even when a user loses internet connection.

Licensing

• Expiring Documents Report Now More Accurate – The report now excludes closed or inactive applications and removes older versions of documents once a newer unexpired version is uploaded.
• Automatic Conversion for 18-Year-Olds in the Home – When a youth turns 18, Binti will now automatically convert them from a child in the home to an Other Adult, generating the correct requirements and carrying over relevant data.
• Improved 18th Birthday Notifications – Caregivers will get an email notification on the youth’s 18th birthday, while assigned workers will get a 30-day advance notice to help them prepare for new requirements.

• Clearer Reference Status for Waived References – Waived references now appear as “Completed” with an info icon for added clarity. If a waiver is removed, the reference count updates accurately, ensuring the status always reflects the current reference requirements.

• Consistent Provider Name Display in Congregate Care & CPA Apps – The top-right header across CPA/CCA application pages now consistently shows the provider’s name (not the license manager’s), with clear status formatting for better navigation.

Placements

• Cross-Agency Placements: Partner Agencies Retain Access to Their Requirements – Partner agencies now continue to see any child requirements they generated (overdue, in progress, completed, or waived) during a cross-agency placement, even after the placement ends for improved data quality and reporting purposes.

• Application History No Longer Logs Every Keystroke – Increased the autosave delay for Background Check Notes to reduce unnecessary historical entries.
• Cross-Agency Application Edits Now Save Properly – Workers at source agencies can now successfully save changes when editing caregiver applications within agency relationships.

Family Finding

• Better Tab Navigation on the Relationships Dashboard – The yellow highlight now properly follows mouse clicks between the Connections, Potential Connections, and Contact Logs tabs for clearer navigation.
• Contact Name Filter Restored – Workers can once again filter by Contact Name in the Family Finding Contact Log Dashboard.
• Archived Workers No Longer Break Contact Logs – If a worker who logged a contact gets deleted, Binti now shows their name with “(Archived in Binti on MM/DD/YYYY)” so logs remain accessible.

Binti is delighted to announce the launch of some key features leveraging AI to drive efficiencies and save social worker time!

AI & Transcription

• “Ask Binti AI”: Workers can ask Binti AI questions and receive key insights and answers from data across an applicant’s data page, as well as forms and case notes

• Allow Uploads of Documents & Handwritten Notes to be transcribed – In addition to audio, workers can now upload documents or interview notes to be transcribed by Binti AI and converted into case notes or form entries.
• Selective Form Filling with Binti AI – Workers can choose which forms Binti AI should populate after a transcription. This prevents unwanted data entry and gives more control over documentation.

🚀 Enhancements

Licensing

• Monitor Expiring Youth Transitions Automatically – Workers and caregivers will now receive automated email notifications when a youth in the home turns 18 and becomes an “Other Adult in Home,” helping everyone stay ahead of new requirements.

• More Options for “How Did the Applicant Learn About Our Agency?” – We’ve expanded the available selections in the “How did the applicant learn about our agency?” field to better capture referral sources:

  • “Yard Sign” under Advertisement
  • “Community Event” under Event
  • “Health Care Setting”, “Community Based Organization”, and “Employer” under Word of Mouth
  • When an Event option is selected, a new free-text field labeled “Which event” appears—optional with no character limit—allowing for more detailed tracking.
• Streamlined Download Options [CD 2.0] – The “Download as Word” option now only appears for partially completed agency forms, helping workers avoid confusion and focus on forms in progress.
• Improved CSV Download Experience – CSVs with 250+ rows are now processed as background jobs. A pop up message confirms the request: “Successfully requested CSV. You will get an email notification when it is ready to be downloaded.”

Family Finding

• Enhanced Potential Kin Online Search (PKOS) – The “Date Reported” now appears next to each address result in PKOS searches, helping workers identify the most recent and relevant address when saving new potential connections.
• Deceased Indicator in Relationships Dashboard – If someone is marked deceased, “(Deceased)” now appears next to their name in the Relationships Dashboard to prevent unnecessary outreach and confusion.

• Better Tab Organization and Naming – To reduce confusion:
  • The “Relationships” tab is now labeled “Connections.”
  • The “Contact Logs” tab now appears third.
  • Subheadings above tables have also been renamed to match their tabs for clarity.

• Last Name Sorting for FF Searches – The FF Searches dashboard  now sorts by child last name (instead of first name) for easier navigation and consistency.

• Family ID Now Carries Over After Role Switch – Resolved a bug where the RFA/Family ID wasn’t transferring to the new primary applicant after a role switch, which had previously blocked approvals.
• Reference Waivers No Longer Block Progress – Applicants can now move forward as long as all reference requirements are either completed, waived, or both—even if the reference fields are blank.

Family Finding

Bulk Outreach for Potential Connections – Bulk outreach is again available and clickable for potential connections, streamlining outreach efforts.

• 🔍 Track Expired and Expiring Docs with the new Expiring Documents Report – This report helps workers easily identify expiring and expired documents for families. This report will only display documents on applications that a worker has access to, ensuring clear and relevant oversight.

•  📅 Custom key dates now appear on the "In Renewal Process" tab – Agencies can now view their unique licensing process milestones right from the Caregiver Applications Dashboard. These custom dates are also included in the In Renewal Process CSV export for seamless reporting.
• 🌐 A more seamless multilingual experience for caregivers – When caregivers click on a link from an automated email in a language other than English, the Caregiver Portal will now automatically display in that same language.

• 🤖 Clarified terminology around AI features and chatbot – To reduce confusion:

  • “Binti AI” now refers to our non-chat tools like transcription.
  • “Binti Blue” now refers exclusively to our support chatbot.

• 📋 Contact Log now includes one-time connections – The Contact Log tab in the Family Finding Efforts report now pulls names from the “Others Contacted” field, allowing you to track one-time connections like schools or doctors.

Licensing

• 🚫 No more quiz completion blockers – We've fixed an issue where applicants were getting stuck after a quiz was waived or uploaded by a worker. Now, as long as the requirement is marked complete, the applicant can proceed, even without a quiz score.

📊 Race & Ethnicity Data Collection Improvements

To simplify demographic reporting for your agency, Binti is updating how race and ethnicity data is collected to align with federal standards. Previously, race and ethnicity were combined into a single question. Moving forward, this information will be gathered through two separate questions:

1. Are you/Is this person of Hispanic or Latino origin?
2. What is your/this person’s race?

These updated questions will appear throughout Binti wherever race and ethnicity are collected, including for both children and adults. The images below depict the existing and new interface. Additional sub-selections (i.e. additional ancestry information) are available under each option.

• Family Finding & Engagement The Family Finding Searches dashboard now loads faster, ensuring a smooth user experience.
• Family Finding & Engagement Placement Options within Family Finding’s relationship details now support enhanced detail to improve clarity and decision-making. Agency workers can now specify whether a child’s connection is recommended for placement or for placement consideration. 🔧 Fixes

• When a supporting document expires, notifications will only be sent for requirements on the currently active template. Previously, email notifications were sent for old templates no longer in use.

The fixes listed below apply only to customers with Caregiver Documents 2.0.

• All available case notes now display when accessed via the Universal Search page for caregivers with a household role switch. Previously, not all case notes would display. 
• When changing an application to Out-of-County (sending), the Documents page loads as expected. Previously, agencies could encounter an error.
• In instances where an applicants' role is changed twice, case notes remain editable. Previously, case notes could become uneditable in certain circumstances.

• Licensing The term “passcode” now replaces “password” in the Caregiver Portal to clarify that users should enter an agency-provided code to move forward with their applications, not their Binti account password.
• Licensing Agencies with translated forms or our AI translation package can now customize the Caregiver Portal language and translate the initial welcome email for better accessibility.

📇 Improved Family Finding & Engagement User Experience

• Family Finding & Engagement A new column shows the number of connections found, providing greater insight into search results.
• Family Finding & Engagement Agencies can now select “Social Media” and “Other” when logging contacts, providing more accurate outreach tracking.
